QUICKBOOK TRAINING, September 2017

Introduction

CRS Uganda is implementing a five-year USAID funded program that will serve 625,000 orphans and vulnerable children and 101,500 families in 17 districts in Western and Central Uganda over five years. This program is the Sustainable Outcomes for Children and Youth in Central and Western Uganda (SOCY).

CRS leads a consortium that includes key local implementing partners, Action for Community Development (ACODEV), African Network for Prevention and Protection against Child Abuse and Neglect (ANPPCAN), and TPO Uganda. International implementing and resource partners include Palladium, the Institute of Reproductive Health (IRH), Center for Creative Leadership (CCL) and Living Goods. In addition to working with the implementing partners, CRS has sub granted to local Community Support Organizations (CSOs) – 11#, to ensure focused delivery of services to the project beneficiaries tailored to the community needs and set up.

During implementation of the project, it has been noted that the partners have had challenges with management of records especially financial information. In order to enhance financial management – secure information management, reviews, reporting and analysis CRS recommended the use of accounting software – Quick Books, for the partners who are financially constrained and not able to invest resources in this regard. CRS procured Quick Books licenses for the partners and prior to distributing the licenses, would like to provide a training to the partners staff and Grants team on the use of the accounting package.

Description of work

Under this scope of work, CRs will outsource a competent and experienced firm to conduct a 5-days training to the CRS/SOCY Grants team and finance staff from the partner organizations to improve the accounting systems and Accountability through secure storage and automated retrieval of financial data and extraction of required reports.

At the end of the training, it is expected that the participants should be able to;

· Have a general over view of Quick Books accounting software key features and how it operates.

· Set up and incorporate the chart of accounts into the Quick Books using both partner and donor codes so that reports can be extracted automatically

· Input budgets and how to make budget amendments.

· Make journal entries into the system and how entries can be reviewed to ensure accuracy.

· Generate different reports like cashbooks, trial balance, income and expenditure statement, and balance sheet, receivables and payables status sub ledgers to facilitate reporting and analysis.

· Carry out bank reconciliation within Quick Books.

· Attain multi-currency financial data input and retrieval.

· Manage fixed assets register in the Quick Books.

· Produce a consolidated report for different project into one report.

· Understand the best practice recommended system internal controls and access rights while operating in QuickBooks.

· Handle online sharing of the system.

· Practice usage of the software and be able to produce reports

Duration & Venue of the training:

We expect the training to be delivered to approximately forty (40#) participants over 3-days, for approximately 7-hours each day. The duration should be during the week of September 11 – 15, 2017 at a location to be identified.

The topics for training shall include, but not limited to:

· Setting up charts of accounts,

· Creating vendors and customers,

  • Posting journal entries/posting data in Quick Books
  • Posting in multi-currency
  • Preparing the bank reconciliation
  • Preparing the payroll in Quick Books
  • Preparing the inventory/fixed asset register
  • Generating reports from Quick Books
  • Uploading budgets, forecasts and cash flow projections,
  • Merging data for different projects to produce consolidated reports
  • Coding of multi projects and bank accounts in order to differentiate them in quick books
